Bookkeeper (Hybrid)

Job Overview
The Bookkeeper is responsible for updating, entering, and maintaining accounts receivable (A/R) and accounts payable (A/P), reconciling statements, payroll processing and managing accounting records. The Bookkeeper works closely with agency staff and the Controller to proactively manage A/R and A/P, financial data, and reporting while adhering to established accounting standards.

Responsibilities:

A/R and A/P Management (80%):

  • Conduct A/P data entry to include overhead invoices and expense reports; ensure inclusion of invoice backup material and confirm correct totals and dates.
  • Match Cost of Goods Sold payables to Purchase Orders and enter. Ensure inclusion of invoice backup material and confirm correct totals and dates.
  • Run monthly client billing worksheets and provide to assigned Project Management staff.
  • Generate client invoices for approved Billing Worksheets.
  • Provide client P&L delivery to Project Managers and facilitate monthly sign-off
  • Be a resource for internal and external A/R and A/P questions, inquiries, and requests.
  • Review A/R aging report monthly, and work with Account Services to collect outstanding payments. 
  • Determine and resolve discrepancies in A/R and A/P accounts.
  • Ensure that A/P invoices are paid accurately and in a timely manner.
  • Ensure that credit cards are paid accurately and in a timely manner.
  • Provide CEO with A/R and A/P Reports weekly.

Collection, Maintenance, and Presentation of Financial Data (20%):

  • Able to proficiently process payroll on a semi-monthly basis without supervision or direction
  • Swiftly and proactively manage financial and payroll reconciliations 
  • Oversee and manage financial audits 
  • Perform new vendor setup, subcontractor payment form collection, compile and provide 1099s to all required subcontractors.
  • Process payments to vendors and subcontractors.
  • Execute accurate reporting, filing, and data management in multiple systems.
  • Prepare internal reports as needed.
  • Reconcile general ledgers, bank accounts, and credit cards monthly; investigate and resolve any errors or discrepancies.
  • Assist in year-end or contract-specific audit requests.

 

Qualifications:

  • 8+ years of experience in accounting.
  • Bachelor’s degree required.
  • Significant experience with QuickBooks required.
  • Strong organizational skills and attention to detail. 
  • Experience with Excel, Outlook, Word, etc.
  • Experience with Workamajig a PLUS++

Location
This position is a hybrid role based in San Diego, California. Remote working options with in-office Wednesdays and biweekly half-day Fridays for collaboration and team building.

Compensation & Benefits
This is a full-time salaried position with a comprehensive benefits package. 

Salary Range: $70,000 – $80,000, depending on experience.
