Accounting Manager (Hybrid)

Job Overview
The Accounting Manager manages the collection, maintenance, and presentation of agency financial data, including recording transactions, reconciling accounts, and preparing financial reports. Responsibilities include maintaining accounting records, managing payroll processes, maintaining accounting records, facilitating audits, and in conjunction with the CPAs, ensuring timely tax return preparation. The role involves account receivable (A/R) and payables management (A/P). The Accounting Manager ensures accurate billing, maintaining financial controls, and accurate management of the agency’s assets and liabilities.

Collection, Maintenance, and Presentation of Financial Data (50%):

Transaction Recording:
  • Record financial transactions for Civilian in Workamajig (WAM).
  • Record financial transactions for Amplified in QuickBooks.

Account Reconciliation:

  • Perform monthly reconciliation of bank accounts, credit cards, and other balance sheet accounts. Investigate and resolve discrepancies.
  • Maintain corporate lease documentation.
  • Keep up-to-date fixed asset lists and manage quarterly capitalization.
  • Financial Reporting:
  • Prepare monthly, quarterly, and year-end financial statements and reports.
  • Ensure materials are prepared for tax returns and payments in a timely manner; serve as the primary contact between the CPAs and the CEO.

Tax and Compliance:

  • Facilitate communication between external accountants and the CEO for year-end financial closing and reporting.
  • Prepare materials for audit schedules and reports as required by auditors or regulatory agencies in a timely manner.

Record Keeping:

  • Securely maintain all corporate accounting records, adhering to established retention and disposal protocols.
  • Assist with special reports and projects as needed.

Personnel Management (20%):

  • Payroll Processing: Handle the complete payroll process for salary and semi-monthly payroll cycles.
    • Set up new employees in the payroll system and manage year-end W2 form distribution.
    • Calculate work hours for both exempt (salaried) and non-exempt (hourly) employees.
    • Calculate and make deductions for paid time off (PTO) and 401k contributions; calculate severance payments as needed.
    • Prepare and submit Employment Development Department (EDD) documentation for state compliance.
  • Regularly review and update Civilian payroll process documentation to ensure accuracy and compliance with changing regulations.
  • Compile and distribute 1099 forms to subcontractors annually in compliance with IRS requirements.

Accounts Receivable and Accounts Payable Management (30%)

Accounts Receivable (A/R) Management:

  • Conduct weekly reviews of the A/R aging report to identify overdue payments.
  • Collaborate with the Account Services team to facilitate the collection of outstanding payments from clients.
  • Provide bi-weekly A/R reports to the CEO, highlighting current receivables status and any collection issues.

Accounts Payable (A/P) Management:

  • Manage A/P data entry tasks including invoices and expense reports.
    • Ensure all invoices have necessary backup documentation and approvals.
    • Verify that totals on invoices and reports are correct.
  • Issue weekly report to the CEO detailing upcoming payments.
  • Process payments to vendors and subcontractors according to agency timelines and approvals.
  • Resolve any discrepancies found in A/R and A/P accounts.

Financial Controls and Timelines:

  • Implement and oversee controls to ensure timely payment of all accounts payable invoices and credit card bills.
  • Maintain and supervise processes of receipts and disbursements to safeguard financial integrity and compliance.



  • 7+ years of experience in accounting and finance
  • Bachelor’s degree required.
  • Proficiency in QuickBooks, Excel, and working knowledge of general financial management software practices
  • Strong organizational skills and attention to detail
  • Strong analytical, organizational, and problem-solving skills
  • Adept at strengthening internal processes and communications with staff at all levels

This position is a hybrid role based in San Diego, California. Remote working options with in-office Wednesdays and biweekly half-day Fridays for collaboration and team building.

Compensation & Benefits
This is a full-time salaried position with a comprehensive benefits package. Salary Range: $70,000 – $80,000, depending on experience.
